Association Rules

Membership of the DSSA is subject to each member abiding by the rules defined in the following document.

Should a member’s circumstances change or they refuse to abide by the association rules then the DSSA Chairman ( upon consultation with the membership ) may choose to temporarily suspend or withdraw their membership.

Criteria for Membership

To be considered for membership you must be an established provider of Dental Practice Management Software in the UK and/or Ireland.

New Members

New membership applications are warmly invited from any party that meets the “Criteria for Membership”. Requests for membership should be directed to the DSSA Chairman or DSSA Secretary ( here ).  Any such requests will be communicated to existing members and if no valid objections raised the new member will accepted as a member and be invited to attended DSSA forum meetings and be added to the association’s circulation lists. The DSSA does reserve the right to refuse a request for membership if it considers that a valid objection has been raised.

Membership Fees

There is currently no fee levied for membership of the DSSA

Membership Etiquette

There are few restrictions regarding what members can do or discuss with other members but the DSSA does request that the following rules are strictly adhered to.

  1. There must be no discussions between members that could be deemed to be anti-competitive and hence lead to potential accusations of illegal cartel like behaviour. Broadly this relates to activity involving price fixing, bid rigging, sharing markets or sharing commercially sensitive information. Please therefore do not engage in discussions on pricing or other commercially sensitive information with other members.

  2. From time to time the DSSA may make requests of all members to follow a specified course of action to demonstrate a consolidated DSSA response. The DSSA however respects that member are independent parties and may not wish to comply with such requests. We simply ask that where a member does wish to comply they make the DSSA aware so that any collective statement issued on behalf of the DSSA remains accurate.

  3. No member will act to prevent one of their customers from migrating their data to another members solution. In practice this means that members agree not to encrypt data to prevent access by other members, and/or will provide a copy of the decrypted data upon request ( within the limits of any  data protection legislation that apply).

Meeting Rules

The full DSSA membership should meet nominally every 3 months, or as circumstances require it.

The Chairman, or Secretary in the Chairman’s absence, will officially call DSSA meetings and send out meeting invitations.

Minutes will be taken at all DSSA meetings by an appointed scribe at each meeting. A copy will be held in archive by the DSSA Secretary and copy circulated to all members.

Election of Association Officers

The role of DSSA Chairman and Secretary should come up for re-election annually.

Candidates for these roles must be proposed and seconded by members from differing member companies. If more than one candidate is seconded for a role then a ballot of the membership will take place to determine a majority decision. In the event of a tie the incumbent Chairman will have a casting vote to break the tie.

Supporting the DSSA Brand

All members are entitled display details of their membership including use of the DSSA logo on their marketing material and company websites.

Members are requested to provide their company / product logos + preferred contact details for the membership section of the DSSA website.

From time to time these rules may be amended.

A draft copy of the amended rules will be circulated for comment and review prior to publishing
